HealthTechX  

These terms and conditions apply to all ticket bookings for HealthTechX summits, events, exhibitions and/or digital events (each an "Event") held by IBIS Capital (the "Terms") and for the purposes of these Terms:

(a)    "IBIS Capital" means IBIS Capital Limited with company number 04736611 and its registered office at 22 Soho Square, London, W1D 4NS, and its subsidiaries; and 

(b)    references in these terms to "HealthTechX", "we", "us", "our" means the member of IBIS Capital Limited holding the Event concerned.

These Terms, and any other terms communicated as part of the booking process, apply to all events held by us. Please read the Terms carefully before making a booking. 

These Terms, and any other terms communicated as part of the booking process (including on the booking form and/or your ticket) together with any other terms in relation to your specific Event, govern the agreement between HealthTechX and the person making the booking and/or attending the Event ("you"). 

If you are purchasing Event tickets on behalf of other delegates (as part of a group or otherwise), such delegates will also be bound by the Terms and by booking their Event tickets, you agree to provide the Terms to those delegates and to ensure they comply with these Terms. 

1    Data protection 

1.1    By registering for any of our Events, you are agreeing to our Privacy Policy which tells you how we collect and use your personal data, how we look after it and what your legal rights are in respect of your personal data.

1.2    Please note that if you attend an Event in person and your Event badge is scanned by us when you attend a session, you consent to us sharing your registration details with the session / track sponsors. If you attend a digital Event or webinar, you consent to us sharing your registration details with sponsors of digital content that you engage with. You can withdraw your consent at any time, by contacting us at hello@healthtechx.com.

1.3    We will send you marketing about our Events and you can opt out of receiving marketing from us at any time using the unsubscribe link or contacting us by email at hello@healthtechx.com.

2    Tickets and payment 

2.1    You can purchase Event tickets for yourself and/or other delegates on our website or by contacting us at hello@healthtechx.com. Your place is only secured when funds have been received by us and we send your booking confirmation via email to the email address that you have provided as part of the booking. Your Event ticket(s) will be emailed to you, directly from our registration provider, once the transaction has been completed. If you have not received your ticket within 7 days of booking, please contact us.

Fees can be paid by credit or debit card on our website or via bank transfer upon request. All invoices for attendance at an Event must be paid within 14 days of the date of the invoice or if sooner, prior to your attendance at the Event.

3    Cancellation by you 

3.1   If you cancel before the end of November, 2/3 of the total ticket price will be reimbursed to the buyer with the funds reappearing in his/her account within 7 business days.

3.2  If you cancel between 1 December and 31 January, 1/3 of the ticket price will be reimbursed, with funds appearing within the 7 business day window.

3.3.  There will be no refund for tickets purchased after 1 February and the reimbursement process will no longer be possible for existing tickets.
Our strict refund policy is in place as HealthTechX agrees to significant, non-cancelable financial commitments with our partners, venue and suppliers in order to ensure the success of our Events. Our ticket refund policy reflects these unalterable financial commitments. We apologise for any inconvenience caused.

4    Transfer or substitution of tickets

4.1   We understand that circumstances can change and individuals or companies may choose to not attend an Event. If you are unable to attend, you may transfer your ticket to another person or alternatively transfer your registration to a future edition of the Event.
In order make a name change, you can manage the transfer directly from your confirmation email - or, the original attendee can send an email to hello@healthtechx.com - including your ticket number, purchase date and email address used to reserve the ticket - to authorise the change. 

5    Rescheduling, replacement, cancellation and amendment by us 

5.1    We aim to provide the Events as described to you at the time of booking but we reserve the right to reschedule, replace, cancel and/or amend an Event if unprecedented circumstances require us to do so. 

5.2    We reserve the right to reschedule or replace Events at our discretion.  Where possible, we will provide you with reasonable notice about the rescheduling or replacement of an Event. If we choose to reschedule or replace an Event, we reserve the right to apply your ticket to the rescheduled or replacement Event and your Event ticket and associated ticket fee will automatically apply to the rescheduled or replacement Event and you will not receive a refund. If we choose to reschedule or replace an Event, these Terms will apply to the rescheduled or replacement Event.

5.3    If we are unable to reschedule or replace an Event in accordance with clause 5.2, we will cancel the Event and take reasonable steps to notify you by email at least one month before the date of the Event. In the case of cancellation, we will contact you directly about our refund options. 
Personal arrangements including travel, accommodation or hospitality relating to the Event which have been arranged by you are at your own risk. Liability for any cancellation or rescheduling of the Event is limited to the value of the ticket.

5.4    Where necessary, we reserve the right to make alterations to the published agenda, format, speakers and timings up until and during the Event day. Please note that the agenda is subject to change without notice and any such changes do not entitle you to cancel your Event ticket or to a refund of any part of your booking.   

6    Force majeure

6.1    We will not be liable to you for any loss or damage caused to or suffered by you as a direct or indirect result of a failure by us to perform any of our obligations in relation to an Event to the extent that the failure is caused by events, circumstances or causes beyond our control. 

7    Event conduct

7.1    Whilst attending an Event, you must behave respectfully towards your fellow delegates and Event staff and comply with:

(a)    all applicable law (including health and safety requirements); 
(b)    any instructions given by us or staff at the venue; and 
(c)    the terms and conditions of the venue. 

7.2    You are responsible for your own safety whilst attending the Event - we shall not be liable for any loss or damage suffered by you. Neither we nor the venue will be responsible for any loss, theft or damage of your personal belongings. We recommend arranging your own insurance cover for attending the Event.

7.3    By attending the Event, ticket holders consent to photographing, filming and sound recording of themselves as members of the audience. We reserve the right to use photographs, images, sound recordings and video footage taken at the Event and other content from digital, social media or similar environments made available by us or on our behalf in respect of the Event in future or other Events and any marketing materials or media including social media which may include, but is not limited to, your name, voice or image. 

7.4    Unless otherwise specified or agreed in advance, children under the age of 18 years are not permitted to attend any of our Events. 

7.5    Non-compliance with these Terms, reserves us the right to refuse entry and/or remove you from an Event. 

8    Intellectual property rights 

8.1    We retain all intellectual property rights in relation to our Events including in any content relating to our Events. We may provide a licence to third parties to use content from an Event at our sole discretion. 

8.2    You may use content relating to an Event solely for your own personal use and not for resale, distribution or any commercial purposes. 

8.3    The views and materials produced by speakers at our Events are their own and we do not recommend, endorse or promote the views, acts or omissions of any speakers or any other attendees at our Events. We are also not liable for any information provided or distributed as part of an Event and it shall not constitute advice and nor should any reliance be placed upon it. 

9    Liability 

9.1    Nothing in these Terms shall exclude or restrict our liability, including liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation and any matter for which it would be unlawful to exclude or restrict liability. 

9.2    Subject to clause 9.1, our maximum aggregate liability in contract, tort, or otherwise (including any liability for any negligent act or omission) howsoever arising out of or in connection with the performance of our obligations under these Terms shall be limited to the amount paid for the Event ticket. 

10    Miscellaneous

10.1    In the event of any inconsistency between these Terms and any terms and conditions stated on your ticket and/or booking form, these Terms shall take precedence unless any separate terms and conditions state that they take precedence partially or in their entirety. 

10.2    These Terms constitute the entire agreement between us and you and supersede and extinguish all previous agreements between us and you, whether written or oral, relating to its subject matter. 

10.3    We reserve the right to update these Terms from time to time to reflect changes in the law, to meet regulatory requirements or to reflect new industry guidance and codes of practice without providing you with notice. You are advised to review these Terms periodically for any changes. These Terms were last updated on 21 September 2023. 

11    Governing Law 

11.1    These Terms (including any non-contractual matters arising from or in connection with these Terms) are governed by the laws of England and Wales and the courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim (including any non-contractual dispute or claim) arising out of or in connection with these Terms.
